Candidate Qualifications:

1) Proven strong accounting, financial, analytical and problem-solving skills, with a high degree of initiative and sound judgment to overcome obstacles.

2) Detail-oriented and very accurate.

3) Multi-talented with expert computer skills & intuitive computer sense. Functions at an "expert" level in Excel, and database management and manipulation. Knowledge of, or ability to quickly get up to speed with, drawing and manipulating data from Horizon & Minimart.

4) Strong organizational skills and ability to manage multiple projects at once. Proven ability to manage a complex multi-faceted process, with a sense of urgency and under pressure.

5) Strong sense of ownership for projects and initiatives and able to work independently to produce results in a timely manner.

6) Strong oral and written communication skills; polished interpersonal skills; and ability to work positively in a fast-paced team environment, and to remain calm under pressure.

7) Able to effectively supervise and develop the skills of direct reports.

PURPOSE OF THE ROLE:

The Supervisor Accounting & Administration plays a critical role in the supervision of accounting & administration support to the Scotia Capital (SC) and Global Risk Management (GRM) Human Resources function. The Accounting & Administration Officer reports to this position.

This role is responsible for supervising the booking of all accounting entries and accruals, and making all payments. This role is also responsible for ensuring and maintaining documentation evidencing compliance with all department SOX responsibilities; supervising the PAR/EDP process, managing annual departmental budget preparation and expense booking to correct GLs, & quarterly reporting to SC HR Head.

Key accountabilities for this role include:

1) Reporting to the Director, Administration, supervises the Accounting Administration Officer and is responsible for the accuracy and integrity of the following on-going accounting functions: Processing and reconciliation of all Scotia Capital payroll entries; processing of accounts payable; processing of all 250As; calculating and processing month-end payroll, payroll accruals, TVSP accruals, hypo-tax accruals; developing and/or maintaining Excel spreadsheets to manage and reconcile GLs (as assigned), for example the (i) "prepaid bonus" GL, (ii) Hypo-Tax & FX GL, (iii) SC employee loan GL; and management & monthly reconciliations as assigned; also supports SOX requirements.

2) Supports the annual bonus compensation process (cash bonus payroll plus vesting DPP payroll) by: Supervising (i) the verification and settlement of the Canadian payroll amounts with HRSS Toronto; (ii) the recording and wiring of settlement funds to the appropriate HR offices around the world; (iii) the recording of FX gains/losses on payments sent outside Canada; (iv) the recording of hypo-tax; Participating with the compensation team in the production of the Master Reconciliation spreadsheet; Supervising the entries to bonus and DPP-related GLs worldwide - works with NY, UK, & Scotiabank Inc. accounting departments to ensure appropriate GL bookings.

3) Manages the DPP portfolio by (i) managing the relationship with SOLIUM, the DPP Service Provider, (ii) supervising the regular reconciliation of the SOLIUM DPP database to SC records, (iii) supervising the maintenance of accurate DPP tracking spreadsheets, (iv) supervising the reporting of DPP information to SC Finance and the Bank's Treasury department.

4) Manages the annual PAR/EDP automated process and the relationship with SWI, the Service Provider.

5) Ensures that accounting and administration documentation is comprehensive & up-to-date. Responsible for the supervision of other accounting and administration duties, as assigned.

6) Provides analytical support to respond to financial and accounting questions from SC Comptroller, SC Finance and Business Lines, as required.

7) Oversees the preparation and maintenance of GRM HR returns relating to Remuneration & Complement tracking. Supports the GRM HR team in projects and activities, as assigned.

Overtime is often required during annual compensation time (August - January).
