Ottawa Chinese Community Service Centre is a non-profit, non-partisan charitable organization committed to advancing the full social and economic integration of newcomers into the main stream society in the Ottawa-Carleton Region. Now we have twopositions open to public: 1 Receptionist for main desk, 1 receptionist for administration office.


1. Receptionist for Main Desk

Position Type: Receptionist
Employment Status: This is a full time contract (35 hours/week)
Term:

Responsibilities:

· Answer incoming and outgoing calls and direct to appropriate staff member.
· Receive, screen, transfer and respond to telephone calls and messages
· Schedule and book appointments for clients and staff
· Assist with client intake process, filling out forms and client data entry
· Greet visitors and clients
· Maintain a neat reception area and front desk
· Direct clients to appropriate services/workers: e.g. ISAP worker, LINC Coordinators, JSW worker or Counselling worker
· Work experience in a multicultural environment
· Sort incoming mail and processes outgoing mail
· Provide front line support and direct office traffic
· Manage waiting area / resource room
· Support second floor receptionist
· Perform other clerical duties as required
· Knowledge of ISAP, LINC, JSW an asset

Qualifications:

· Two years related work experience
· Spoken and written Chinese (Mandarin and Cantonese) and English language skill essential
· Ability to exercise good judgment and tact in dealing with clients
· Highly organized, attentive to detail; good time management skills
· Excellent communication and interpersonal skills
· Ability to follow written and oral instructions
· Computer Literate (Word, Excel and PowerPoint) and willing to learn internal database

2. Receptionist for Administration Office

· Receive, screen, transfer and respond to telephone calls and messages
· Schedule and book appointments for clients and staff
· Schedule and book classrooms and boardrooms
· Assist with client intake process, filling out forms and client data entry
· Greet visitors and clients
· Maintain a neat reception area and front desk
· Work experience in a multicultural environment
· Sort incoming fax and mail
· Provide front line support and direct office traffic
· Manage waiting area / resource room
· Fulfill clerical and secretary duties
· Perform other clerical duties as required
· Serve as back up for main receptionist
· Knowledge of ISAP, LINC, JSW an asset


Qualifications:

· Two years related work experience
· Spoken and written Chinese (Mandarin and/or Cantonese) and English language skill essential.
· Ability to exercise good judgment and tact in dealing with clients
· Highly organized, attentive to detail; good time management skills
